AI is getting a longer memory, and that matters
Some of the major AI platforms are now rolling out persistent memory features, where the tool remembers details from your previous conversations and uses them to personalise future responses. On the surface this sounds convenient. The AI knows your preferences, your context, your way of working, and you spend less time repeating yourself.
But for a business owner or operations manager, the more important question is not whether the feature is clever. It is what gets stored, where it lives, who can see it, and what happens if something sensitive slips into that memory without you noticing.
These are not hypothetical concerns. They are the kind of practical data privacy questions that any responsible business should be asking before enabling a new feature on a tool the team uses every day.
What the tradeoff actually looks like
Persistent memory in AI tools generally works like this. The system logs details from your sessions, builds a profile of your preferences and context over time, and applies that profile to future responses. The goal is a more useful, more personalised assistant.
The tradeoff has a few dimensions worth thinking through.
- What goes in. If your team uses an AI assistant for client work, internal planning or sensitive operational decisions, those conversations may now be feeding a memory store. You may not always know what detail was retained.
- Default settings. Most platforms enable memory by default and require you to actively opt out. If you do not check the settings, the feature is already running.
- Shared contexts. Some implementations allow memory to carry across different products or tools within the same platform ecosystem. Information you shared in one context may influence responses in another.
- Accuracy over time. Memories can be wrong. If the system forms an incorrect assumption about your business and keeps applying it, you may get subtly skewed responses without realising why.
- Accountability. When an AI response is based on remembered context rather than just the current conversation, it becomes harder to audit why the system said what it said.
None of this means you should avoid AI assistants. It means you should make deliberate choices about how they are configured.
What a South African business should do right now
The practical steps here are not complicated, but they do require someone to actually take responsibility for them.
- Audit the tools your team uses. Make a list of every AI assistant or chat tool in regular use across the business, including personal subscriptions that staff may be using for work tasks.
- Check memory settings on each one. Look for settings labelled memory, personalisation or history. Understand what is on by default and what opting out actually does.
- Decide what your policy is. For some use cases, memory features are genuinely useful and the risk is low. For others, particularly anything touching client data, financial information or internal strategy, you may want memory off.
- Write it down. Even a short internal note on which tools staff use, which settings are applied and what is considered sensitive is better than nothing. It gives you a baseline to review as these features keep evolving.
